**The role**

As we grow, we are needing someone to take on administrative tasks and processes, so that our client-facing team members can focus on being true partners to our current and future clients.

We’re looking for someone organised and proactive, with strong administrative skills, to manage our operations and finance processes. Whilst you would be responsible for basic operational administration, you’ll also help us organise and plan key people & culture activities (such as organising and arranging team events and away days and celebrating team milestones) and so will need an ability to build strong relationships too.

Whilst you will need some experience of working within a Finance and Operations role previously, you don’t need to know it all, as you will work closely with our Co-Founders and will be able to draw on the expertise of our external HR and Finance Consultants.

**As an Operations and Finance Coordinator/Manager, you will be contributing to the team in a wide range of activities, including:-Finance & systems**

*   Managing team timesheet submissions
*   Supporting with creating and communicating financial reports, including revenue tracking and other operational metrics that inform our business efficiency
*   Processing and following up on outstanding or overdue invoices
*   Overseeing our use of MS Sharepoint and our operational platform CMAP
*   Liaison with our external services to maintain effective support, including sourcing new partners as appropriate

**People & Culture**

*   Supporting managers with new employee onboarding
*   Managing our staff handbook information/ reviews
*   Tracking and organising appropriate celebrations for birthdays, anniversaries and other key team milestones
*   Planning quarterly team away days, including accommodation and logistics
*   Co-ordinating with freelancers, vendors and other third parties

**Administration**

*   Preparing ad-hoc reports for senior management
*   Managing company subscriptions
*   Supporting our B Corp certification and other sustainability performance reporting, and maximising our connection to the B Corp community overall

**About you**

While we’re generally very happy to consider candidates from all sorts of disciplines and industries, for this role we’re ideally looking for someone with an experience of having worked in a communications agency before, in either a similar role or wishing to transition to such a role from another agency position. Experience of working with the CMap platform is a bonus. Ability and desire to work in a remote-first setting is essential too.

**Salary range**: £30,000 - £50,000 FTE (dependent on experience).

**Working hours:** We are looking for someone who is keen to work on a **part-time basis** for this role. The shape of the working pattern is negotiable, but we estimate that we are looking for 2-2.5 days/week.

**About The Role**

Your role will be to onboard, train and assist customers onto our payroll platform for a SaaS payroll and outsourced payroll service offering. You will assist the sales team by being the SME in the room at latter stages of the sales process or within communication channels. You will suggest and execute process improvements to achieve the team goal of building the best in class payroll offering.

Reporting to the Director of Payroll, you will work with colleagues from across the business, including the wider implementation team, solution architects, product engineers, customer success and support as well as the payroll bureau.

**Responsibilities**

*   Carrying out end to end payroll implementations, from kick off, data gathering, system configuration, validation, testing to go live and BAU.
*   Working alongside Project Managers and Solution Architects to create client facing Solution Design Documents during the implementation process
*   Identify opportunities for process improvement and take ownership to see the improvement come to fruition
*   Meeting with prospective clients alongside the sales team, explaining the service offering for both SaaS payroll and outsourced payroll services
*   Adapt to a rapidly developing HR and WFM platform that feeds payroll

**Requirements**

Everyone is different, but hopefully lots of the following apply to you:

*   Proven experience managing successful Payroll system implementation projects, preferably alongside an HR/WFM platform integration within a bureau/outsourced environment.
*   Start up mentality, drive to help build a solid payroll service while disrupting traditional offerings and processes.
*   Working knowledge and understanding of processing UK payrolls, end to end.
*   Deep understanding of UK payroll legislation is essential. CIPP (or equivalent) qualification (or working towards a qualification) is desirable but not essential.
*   Intermediate to Advanced user of Microsoft excel and/or Google sheets, capable with SUM, VLOOKUP, PIVOT, CONCATENATE, etc
*   Understanding of Information Security quality standards and GDPR compliance
*   Comfortable with regular travel to UK client sites and London office for onboarding and team days

Payroll Implementation Manager

**Onboarding Management**

*   Establish clear expectations with the client and employee regarding the timelines for onboarding, ensuring that all aspects of the client's expectations are considered in relation to the limitations of the locations. For instance, if this is a new location for onboarding with this client, additional time should be allocated accordingly
*   Utilize the Contract Management system, Juro, to oversee and manage communications between the client, in-country partner, and employee concerning the Employment Agreement
*   Review and verify the contractual templates and comments made by all parties to ensure accuracy and compliance. Engage with the appropriate stakeholders as necessary to facilitate the timely management of the onboarding process
*   Proactively monitor and manage the durations for onboarding, analyzing the subsequent key steps to ensure that preparatory work is completed in advance, thereby avoiding any impediments to progress
*   Establish a clear target start date for the onboarding, while anticipating potential challenges and obstacles on behalf of the client, and preempting any possible delays
*   Once onboarding is completed and the information is shared with all internal stakeholders within the board. Ensure the Employee Experience team is supported with any relevant information concerning an employee to support the successful management following onboarding

**Onboarding Care:**

*   Manage all onboarding activities to ensure new employees feel supported and integrated into their End Client company culture
*   Collaborate with Business Development, Operations, Finance and Client Services teams to ensure a consistent and high-quality employee experience
*   Identify negative feedback or potential issues and escalate them to the appropriate business units for resolution
*   Work closely with relevant teams to ensure timely and effective resolution of employee concerns, throughout their onboarding journey maintaining high satisfaction levels
*   Address and resolve employee inquiries and concerns within pre-agreed Key Performance Indicators (KPIs) and Service Level Agreements (SLAs)
*   Monitor and manage the effective service delivery of Local Partners, whilst building strong and productive relationships
*   Meet regularly with GX stakeholders to evaluate and implement services within the Client's scope
*   Support and prepare for regular Client review meetings; present information as requested (Open cases, end dates, terminations, costs etc.)
*   Monitor and update the Client/Employee Dashboard within GX1 (Human Capital Management) system with all processes related to your assigned clients the onboarding, employment, payroll instructions, expenses and invoices and general queries
*   Responsible for ensuring all services are provided in line with service level agreements
*   Provide regular updates to management regarding employee feedback, trends, and areas for improvement
