Position DescriptionTitle: Onboarding Associate
Reports to: Onboarding Manager
Salary Range: $55,000-$65,000 annually with potential for annual bonus based on firm profitability and employee performance.

Job Summary
The Onboarding Associate will be responsible for supporting the Onboarding Manager in all aspects of the onboarding process of new advisors and their clients. This individual will work closely with advisors to ensure a smooth transition and onboarding of their clients and book of business. The Onboarding Associate will specialize in the administrative process of onboarding advisors and assist the Onboarding Manager in transitioning advisors to the respective teams.
Duties and Responsibilities
- Assist Onboarding Manager with advisor phone calls, emails and tasks
- Participate in team transition calls
- Perform NIGO resolutions in a timely manner and reach out to advisors as necessary
- Maintain open communication between Onboarding team and other departments
- Prefill documents and send out DocuSigns ensuring accurate completion
- Work in Excel to bulk prefill documents
- Follow-up on documents sent via DocuSign
- Send out alerts from custodians to advisors and staff
- Answer phone calls
- Process assigned tasks in a timely manner
- Assist with onboardings of new advisors
- Work directly with custodians and service teams to ensure accurate processing of documents submitted
- Other responsibilities as assigned.
Requirements and Qualifications
- Bachelor’s degree from an accredited college or university.
- Prior investment industry experience preferred.
- Securities Industry Essentials (SIE) or ability to obtain within 6 months.
- Solid strategic thinker and problem solver.
- Strong organizational and project coordination skills with the ability and experience to handle and prioritize multiple assignments and conflicting deadlines, while providing a high level of client service.
- Ability to work effectively under pressure with tight deadlines, with attention to detail, and the ability to handle conflict and negotiate resolution.
- Ability to be responsible for confidential and time sensitive material.
- Proficiency with windows-based software (e.g. Word, Excel, and PowerPoint) and Outlook is required.
- Excellent written and verbal communication skills – clear, concise and organized.
- Ability to work in a team-based environment, proactively covering and sharing task responsibilities with other team members.
- Be self-motivated, show initiative and creativity in all aspects of work (e.g. creating new methods to streamline tasks).
- Work independently with little supervision and know when to ask for guidance, clarification, and assistance.
- Possess a high level of professionalism, confidentiality, discretion and judgment.
- Team player, with strong coaching and listening skills
- Desire/ability to work successfully in a small company environment
