Program Coordinator

  • Location: Poland
  • Work model: Remote
  • Contract type: Full-time Employment Contract
  • Working hours: 9:00-17:00
  • Start date: As soon as possible

Overview:

We are seeking a detail-oriented and proactive Program Coordinator to support our US and Canada contractor workforce. This role is responsible for managing onboarding, compliance, and VMS-related activities, ensuring smooth processes and alignment with client requirements.

Key Responsibilities:

  • Manage contractor onboarding and offboarding processes, ensuring compliance with client and company policies.
  • Submit and manage contractor data within VMS portals (e.g., Fieldglass, Beeline), including job postings, onboarding tasks, time/expense entries, and documentation updates.
  • Coordinate with internal departments (Recruitment, HR, Payroll, Compliance) and external stakeholders to ensure a seamless process.
  • Monitor and follow up on timesheet submissions, approvals, and issue resolution in a timely manner.
  • Maintain accurate records and documentation for all contractor-related activities in internal systems and VMS platforms.
  • Assist with contractor engagement initiatives, such as check-ins, feedback surveys, and support communications.

Primary Duties:

  • Manage end-to-end onboarding processes, including selecting appropriate packages and assigning relevant documents.
  • Connect with candidates to guide them through onboarding and ensure timely completion.
  • Initiate background checks within stipulated timelines and follow up proactively with the BGC agency and candidates to ensure completion.

Secondary Duties:

  • Create starts in JobDiva.
  • Support VMS-related activities as required.

Qualifications:

  • 1+ years of experience in HR support, onboarding, or client services, preferably within a staffing or MSP environment.
  • Hands-on experience with VMS platforms such as Fieldglass, Beeline, or similar tools.
  • Excellent communication and interpersonal skills with a customer-first mindset.
  • High attention to detail, organizational skills, and ability to multitask in a fast-paced environment.
  • Proficiency in Microsoft Office Suite and working knowledge of ATS (e.g., JobDiva) is a plus.
