Engagement Overview
An organization is transitioning from one PEO to ADP TotalSource and requires immediate consulting support to ensure a smooth and compliant implementation.
The internal HR team is lean, and the primary objective is to ensure zero disruption to payroll processing and employee benefits during the transition.
Engagement Objectives
- Successfully manage a full PEO-to-PEO transition
- Ensure seamless payroll continuity and uninterrupted employee benefits
- Lead data migration and system configuration efforts
- Support internal HR team throughout implementation
- Establish scalable processes within ADP TotalSource
Key Responsibilities
Project Management & Transition Leadership
- Lead end-to-end project management of the PEO transition
- Develop and manage implementation timeline aligned to go-live
- Coordinate with ADP TotalSource implementation team and internal stakeholders
- Identify risks and implement mitigation strategies to ensure smooth cutover
Data Migration & System Configuration
- Extract employee, payroll, and benefits data from prior PEO
- Cleanse, transform, and map data into ADP TotalSource
- Validate data integrity and ensure compliance
- Support phased migration of historical data (post go-live priority)
Payroll & Financial Configuration
- Configure payroll structure within ADP
- Map earnings, deductions, and tax settings
- Set up and validate General Ledger exports
- Lead parallel payroll testing and reconciliation
- Ensure multi-state compliance
Time & HRIS Workflows
- Configure time and attendance workflows
- Align HRIS processes with organizational needs
- Ensure proper benefits eligibility and enrollment setup
Benefits Continuity
- Coordinate benefits transition to prevent coverage interruptions
- Validate deductions and carrier feeds
- Ensure employee-facing experience remains seamless
Change Management & Internal Alignment
- Guide internal HR team on new workflows and processes
- Support communication planning to employees
- Develop documentation and SOPs as needed
Critical Success Factors
- On-time go-live
- No missed or delayed payroll
- No lapse in employee benefits
- Accurate earnings/deductions and tax configuration
- Minimal disruption to employee experience
Preferred Consultant Experience
- Direct experience with ADP TotalSource implementations
- PEO-to-PEO transition experience strongly preferred
- Multi-state payroll expertise
- Strong payroll reconciliation and GL configuration background
- Proven data migration and system integration experience
- Change management and stakeholder communication expertise
