The Workday Reporting Specialist is responsible for delivering high‑quality, scalable, and insightful reporting solutions across the Workday HCM platform. This role acts as a strategic partner to HR, Finance, People Analytics, and business leaders, ensuring that workforce data is translated into clear, consumable, and fit‑for‑purpose insights that support effective decision‑making.
With strong technical expertise in Workday Report Writer and a strong understanding of HR data, the role designs and optimizes reports, dashboards, calculated fields, and other configuration components. The ideal candidate is a critical thinker with excellent stakeholder management skill, the ability to interpret requirements and deliver meaningful analysis across the organisation.
Here’s a breakdown of what you’ll do:
Reporting & Analytics:
- Design, build, and maintain Workday reporting assets, including:
- Calculated fields.
- Advanced, Matrix, nBox, Trended, and Composite reports.
- Dashboards, scorecards, and People Experience insights.
- Advanced experience with Microsoft Excel.
- Translate business requirements from HR, Finance, and operational leaders into accurate reporting logic, data models, and insight products.
- Provide business‑ready workforce insights that inform budgeting, workforce planning, performance management, talent strategies, and operational decision‑making.
- Ensure data accuracy, consistency, and auditability across all reporting assets used by HR, Finance, and business leaders.
- Improve existing reports to enhance performance, accessibility, and relevance.
- Partner with teams to support broader reporting initiatives and insight generation.
Configuration & Functional Expertise:
- Designing, building, and deploying reports to support the following Workday modules HCM, Absence, Time Tracking, Talent, Performance, Recruiting, Learning and Compensation.
- Proficient in EIBs, both inbound and outbound.
- Support configuration of all reporting‑related components, calculated fields, security/roles, and business processes.
- Ensure configuration decisions are aligned with organisational needs across HR, Finance, and wider business functions.
- Diagnose complex data or configuration issues affecting reporting accuracy and propose long‑term solutions.
- Apply Workday best practices and design governance to maintain a robust reporting framework.
Business Partnering & Stakeholder Management:
- Act as a trusted partner to HR, Finance, business leaders, and operational managers, offering proactive insight and guidance.
- Lead discovery sessions, workshops, and requirement‑gathering conversations to understand stakeholder needs and translate them into reporting solutions.
- Present workforce insights in a clear, intuitive, and actionable manner to senior leaders and managers.
- Challenge assumptions, refine business questions, and ensure reporting outputs genuinely support data‑driven decision‑making.
- Provide user training, documentation, and coaching to improve organisational data literacy and self‑service reporting capability.
Quality, Governance & Continuous Improvement:
- Ensure all reporting and configuration activities comply with Workday security structures, GDPR, and data governance standards.
- Maintain clear documentation for reporting logic, configuration decisions, and dashboard design.
- Standardise reporting templates and naming conventions to drive consistency across HR and Finance.
- Monitor the impact of Workday releases, conduct regression testing, and implement beneficial new capabilities.
- Lead continuous improvement initiatives that enhance insight delivery, reduce manual effort, and streamline reporting processes across the organisation.
These are the essentials for having an interview:
- Extensive experience designing and maintaining Workday calculated fields, including complex logic and calculation hierarchies.
- Hands‑on expertise with Workday Advanced, Matrix, nBox, Trended, and Composite reports.
- Proven ability to translate business needs into technical reporting specifications and data models.
- Experience with Workday Worksheets and Alerts.
- Strong analytical and critical‑thinking skills with the ability to simplify complex datasets.
- Broad working knowledge across Workday modules.
- Experience building dashboards, scorecards, and data visualisations within Workday.
- Confident in working with HR, Finance, and senior business stakeholders.
- High attention to detail, data accuracy, and reporting quality.
Nice to have:
- Experience with Workday Prism Analytics or Extended.
- Understanding of Workday security domain frameworks and report‑related permissions.
- Experience in people analytics, workforce reporting, or HR operations.
- Familiarity with Agile or product‑led ways of working.
- Exposure to workforce planning, headcount analysis, and organisational data trends.
