About the role

Job Title: Recruiting Coordinator

Monthly Pay: $4,220 - $5,731 USD per month

Summary:

Working in an applicant-tracking system such as Greenhouse and a scheduling and calendar tool such as Microsoft Outlook, the Recruiting Coordinator organizes interview activity and candidate updates. This role keeps recruiting steps connected so candidates and interviewers receive accurate information and timely responses. The position sits within the recruiting team, works under a recruiting team lead, and collaborates with recruiters, hiring managers, and candidates. This fully remote position lets you work from home in Arizona, United States, supporting recruiting through desk-based coordination. The role requires a 40-hour weekly commitment. Working days and shift times may vary.

Job Responsibilities:

• Review incoming candidate inquiries, recruiter requests, and interview scheduling emails, identify the requested action, and organize pending work by urgency and interview stage.

• Check candidate contact information, current recruiting stage, interviewer requirements, and scheduling instructions before arranging interviews or sending updates to anyone involved in the process.

• Coordinate candidate availability with interview calendars, identify suitable openings, and confirm proposed arrangements with recruiters and hiring managers before issuing final invitations.

• Send interview confirmations containing meeting links, participant information, expected duration, and preparation instructions approved by the recruiter, checking details before each message goes out.

• Update candidate stages, interview details, and coordination notes in the applicant-tracking system, keeping entries clear enough for another team member to continue the work.

• Organize interviewer preparation materials and confirm participants can access the information they need without sharing candidate details beyond the intended recruiting participants.

• Monitor interview changes and cancellations, revise invitations promptly, and notify affected candidates and interviewers so outdated arrangements do not remain on their calendars.

• Follow up on unanswered scheduling requests and missing interviewer feedback, escalating unresolved conflicts or delayed decisions to the recruiter or recruiting team lead.

• Answer routine candidate questions about interview arrangements and recruiting steps, referring selection decisions and questions outside established guidance to the assigned recruiter.

• Review completed coordination work against accuracy, turnaround, complete notes, and follow-up expectations, then share outstanding items and recurring scheduling obstacles with the team lead.

Qualifications:

• High school diploma or equivalent.

• About 1-2 years of recruiting coordination, staffing support, or closely related administrative experience preferred, particularly work involving multiple interview participants.

• Understanding of recruiting stages, candidate communications, interview formats, and the coordinator's responsibility to organize activity rather than make selection decisions.

• Familiarity with an applicant-tracking system such as Greenhouse, including candidate stage updates, interview entries, and clear activity notes.

• Ability to use a scheduling and calendar tool such as Microsoft Outlook to compare availability, send invitations, and manage changes.

• Clear written and verbal communication, with a courteous approach to candidate inquiries and precise instructions for interview participants.

• Ability to prioritize overlapping requests, check details carefully, protect private candidate information, and recognize when recruiter guidance is needed.

• A reliable computer, high-speed internet, and quiet private workspace, plus availability for the 40-hour weekly commitment and agreed working days and shift times.

• Authorization to work in the United States.

Perks & Benefits:

• Fully remote work from home in Arizona, supporting a desk-based recruiting coordination role.

• Structured onboarding and training on the named systems, interview workflows, and candidate communication practices.

• Regular check-ins with the team lead to review priorities, questions, and development needs.

• Build skills in recruiting coordination, interview scheduling, candidate experience, and applicant-tracking system use.

• Health coverage, paid leave, a 401(k), maternity leave, and stipends.
