The ideal candidate brings strong HR judgment, hands-on ADP experience, and the ability to manage competing priorities in a deadline-driven agency environment.

Key Responsibilities

Payroll and ADP Administration

Process accurate, timely employee payroll in ADP, including salaries, hourly wages, approved overtime, commissions, bonuses, deductions, and adjustments.

Maintain employee payroll records, direct deposit information, tax elections, and approved compensation changes.

Review time records and payroll reports, reconcile discrepancies with finance, and obtain required approvals.

Resolve payroll questions and coordinate with ADP and finance on system issues, payroll reporting, and year-end W-2 preparation and review.

Independent Contractor Administration

Manage contractor onboarding, W-9 collection, signed agreements, and payment documentation.

Coordinate approved invoices, payment schedules, and applicable 1099-NEC reporting with finance through the agency's established payment process.

Partner with leadership, finance, and outside advisers to review employee and contractor classifications and maintain supporting documentation.

Recruiting and Onboarding

Manage recruiting for roles across paid media, SEO, social media, content, creative, account management, and agency operations.

Coordinate job postings, interviews, offers, employee onboarding, and required new-hire documentation.

Work with department leaders to anticipate staffing needs tied to client onboarding, campaign deadlines, and project workloads.

Employee Relations and Performance

Serve as a trusted HR resource for employees and managers, addressing workplace concerns promptly and confidentially.

Guide managers on feedback, performance reviews, development plans, conflict resolution, and disciplinary matters.

Manage sensitive employee relations matters and investigations fairly, involving leadership or outside counsel when appropriate.

Support employee engagement and retention.

Employee Offboarding

Manage employee resignations and terminations professionally and respectfully, including separation documentation and exit interviews.

Coordinate final payroll in ADP, applicable accrued leave payouts, and benefits transitions with finance and benefits providers.

Partner with managers and IT to arrange equipment returns and remove access to agency and client systems.

Coordinate handoffs of ongoing work and client responsibilities, and update employee records in ADP and other HR systems.

HR Operations and Compliance

Maintain employee records, the employee handbook, and HR policies; coordinate required training and support compliance with applicable employment requirements.

Administer employee time off, leave, and any company-sponsored benefit programs, coordinating with providers as applicable.

Coordinate confidentiality and intellectual property documentation with department leaders.

Track headcount, turnover, hiring activity, and labor costs; recommend practical improvements to HR processes and workforce planning.

Required Qualifications

3-5 years of progressive HR experience, including ownership of HR operations or experience in an HR management role.

Hands-on experience processing payroll in ADP and reviewing payroll reports for accuracy.

Experience supporting both W-2 employees and 1099 independent contractors, including onboarding and payroll or payment coordination.

Working knowledge of employment requirements, wage and hour practices, worker classification, and confidential record keeping.

Strong communication, organization, problem-solving, and employee relations skills, with sound judgment when handling sensitive information.

Proficiency with spreadsheets, HR systems, and standard business collaboration tools.

Preferred Qualifications

Experience in a digital marketing, advertising, creative, or professional services agency.

Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent practical experience.
